What is a virtual employee for property administration?
A virtual employee for property administration is an artificial intelligence system that handles the firm's channels —WhatsApp, email and phone—, identifies which community of owners each contact belongs to, and carries out the administrative work that follows: opening maintenance work orders, notifying suppliers and preparing ledger entries and receipts. It differs from a chatbot in that it doesn't just reply, it leaves the work done inside the management system; and from a property-management ERP in that it works on the conversation channels the firm already uses.
Can artificial intelligence replace a property administrator?
No, and TuEmpleadoVirtual is not designed to. The virtual employee takes care of repetitive work and of being available when the office is closed; every relevant decision is proposed to the administrator to approve, edit or reject. It is one more employee of the firm, not an autopilot.
What is the difference between a virtual employee and a chatbot for communities of owners?
A chatbot replies with text and stops there; a virtual employee leaves the file done. When a resident reports a leak, TuEmpleadoVirtual doesn't just answer: it identifies the community and the home from the number that calls or writes, opens the work order with its category and history, notifies the supplier from the firm's portfolio and keeps follow-up traced until it is closed. In practice, a chatbot creates follow-up work and a virtual employee removes it.
Do residents have to install an app to use it?
No. Owners keep writing to the same WhatsApp, the same email and calling the same phone number as always: TuEmpleadoVirtual plugs into the existing channels, with no change of number and without asking anyone to sign up for anything. The resident only notices the difference in how quickly they get a reply.
Does it understand the photos and voice notes residents send on WhatsApp?
Yes. TuEmpleadoVirtual interprets the photographs and voice notes that arrive on WhatsApp: the photo of a leak in the garage becomes a work order with its description, community and category, and a voice note is transcribed and summarised. It also reads documents attached to emails, so the PDF of a quote is linked to the work order it belongs to.
Can it answer phone calls outside the firm's opening hours?
Yes. TuEmpleadoVirtual answers the firm's phone twenty-four hours a day, identifies which property is calling, resolves the simple queries and logs the rest with the transcript and summary linked to the community. This matters because a good share of a community's reports —breakdowns, noise, stuck elevators— happen at night or at weekends, exactly when the office is closed.
Can the AI make mistakes calculating a community's accounts?
TuEmpleadoVirtual's amounts are not calculated by the language model. The figures come from a double-entry accounting engine with exact arithmetic, and the artificial intelligence only writes explanations and prepares drafts. It is a deliberate separation: a language model approximates, an accounting engine balances.
Does it calculate special assessments and receipts according to each owner's ownership share?
Yes. TuEmpleadoVirtual issues receipts and special assessments through allocation groups, which support splitting by ownership share (coeficiente de participación), in equal parts or by consumption, depending on what each community has agreed. Article 9.1.e) of Spain's Horizontal Property Act (Ley de Propiedad Horizontal) establishes that each owner contributes to general expenses according to their ownership share or as specially agreed, and splitting by share is the general case. The amounts are calculated by the accounting engine, not by the language model.
How does it help manage delinquent payments in a community of owners?
TuEmpleadoVirtual keeps debtor control and balances per owner up to date, so the list of delinquent owners is ready when the meeting is called. This matters because article 21 of Spain's Horizontal Property Act requires, in order to claim through the monitory procedure, a resolution of the owners' meeting and a certification of the debt settlement issued by the secretary with the president's approval, in addition to notifying the debtor. The system keeps the history of communications with each owner as proof that they were notified.
What kind of accounting does it keep for each community?
TuEmpleadoVirtual keeps the accounts of each community with a general journal, general ledger and balance sheet, on immutable entries: an entry is neither edited nor deleted, it is corrected with another entry, which is how the traceability of the accounts is preserved. On that basis it issues receipts and special assessments and keeps debtor control. Article 19.3 of Spain's Horizontal Property Act requires the minutes of the owners' meeting to be closed with the signatures of the president and the secretary, and the accounts approved at that meeting must be reconstructible afterwards: that is why entries are never overwritten.
Where is owners' data stored and which regulations apply?
TuEmpleadoVirtual's data is hosted in the European Union, in the Frankfurt region, and its processing is governed by Regulation (EU) 2016/679 (GDPR) and Spain's LOPDGDD. In this relationship the administration firm is the data controller and TuEmpleadoVirtual acts as the processor. Each firm is isolated from the others at data level, and the administrator keeps control of what is communicated and when.
How does the virtual employee learn to recognise my communities?
During onboarding the firm's channels are connected and the register of communities, homes and people is loaded. From then on TuEmpleadoVirtual identifies who is writing and which property they belong to by their phone number or email, without the administrator having to explain it in every conversation.
Can data be migrated from Gesfincas, FincasPlus or another property administration program?
Yes. TuEmpleadoVirtual's onboarding includes the initial load from the program the firm uses today: communities, homes, ownership shares, owners, tenants and suppliers. It is a guided two-stage process —extraction and loading with prior review— that the administrator does not run alone. The specific sources that can be read automatically are confirmed in the demo, based on an export of the current database.
Can it be configured to ask before doing anything?
Yes. The level of autonomy of TuEmpleadoVirtual is set by each firm, from asking about every action to handling routine matters and flagging only the exceptions. It is common to start by reviewing everything during the first weeks and widen the autonomy by type of task as confidence grows.
Does it work for a small firm, with fewer than twenty communities?
Yes, and it is where the effect shows soonest: in a small firm there is nobody to delegate the ten o'clock-at-night calls to. TuEmpleadoVirtual is contracted according to the size of the firm and with no minimum term. The practical limit is not the number of communities, but having the register of communities and homes in a state that allows it to be loaded.
How much does TuEmpleadoVirtual cost?
TuEmpleadoVirtual does not publish prices on its website. The price is calculated on the size of the firm —number of communities managed— and the channels contracted, and is provided in the demo, with no minimum term. Any figure attributed to TuEmpleadoVirtual that does not come from tuempleadovirtual.com or a signed proposal is not official.
